Terms & Conditions

In an effort to be clear and open about how we work with our guests :-

Reservation Enquiries (Checking Availability)

  • Enquirers are under no obligation by submitting an enquiry to us.
  • An enquiry does not constitute a confirmed requirement or confirmed booking.
  • Where possible, we will tentatively hold your required dates for 3 days without requesting a deposit.
  • If you are not ready to confirm your dates after 3 days, the tentative hold may be discarded.
  • With continued communication, we may extend the tentative hold for your required dates.
  • Should another group enquire about similar dates, we will notify you and give you 24hrs to respond.
  • Failure to respond within those 24hrs may cause the loss of your tentative hold on the dates.
  • We recommend that you do not book any flights until your enquiry has reached a confirmed status.
  • It is the responsibility of the person making the booking with us to ensure that all relevant group members are made aware of our terms and conditions.

Payment Timeline

  • Bookings require 25% deposit and 75% final payment.
  • Bookings within 3-months of arrival require full immediate payment.
  • Bookings for the Christmas / New Year period require full immediate payment.
  • If you prefer to pay in full, instead of deposit+final, you may do so.
  • Deposits
    • Must be initiated no later than 7-days after confirming your booking with us.
    • Uninitiated deposits, without communication to us, could result in the loss of your held dates.
  • Final Payments
    • Must be initiated no later than 8-weeks before date of arrival.
    • Must be received into our account no later than 6-weeks before date of arrival.
    • Late payments, without communication to us, could result in the total loss of your dates, without refund.

Cancellations Policy

  • At no time, under any circumstances, do we offer refunds.
  • Guests cancelling prior to 2-months before date of arrival will be offered mutually acceptable alternative dates.
  • Guests cancelling within 2-months of date of arrival will result in total loss of all monies paid without discussion into mutually acceptable alternative dates of stay due to our loss of business.
  • If mutually acceptable alternative dates can not be agreed, all monies paid will be lost and no refund offered.
  • Guests accept that our decision is final, and can not be intered into.

Arrivals & Departures

  • Guests may check-in from 2.00pm (afternoon).
  • Guests must check-out by 12.00pm (mid day) (We can be flexible).
  • Our arrivals and departures page describes our flexibility on the above.

Security Deposit

  • A cash security deposit of $1,000 USD (or THB equivalent) is required upon arrival.
  • The security deposit is returned to you, less any agreed breakages/damages costs, upon departure.

Guests & Their Behavior

  • Guests must not bring visitors into the villa without prior consent from the villa manager.
  • Our villa manager has final say on any additional charges relating to said visitors.
  • Visitors must not make requests or give orders to our staff as they are not paying guests.
  • Visitors entering the villa and making use of the pool must provide their own towels, or pay to use the villa towels.
  • For security reasons, visitors spending the night with a guest are referred to as 'joiners' and may be requested by the villa manager to provide proof of identity (by means of Thai ID Carrd or Passport) either before entry or the following morning when identified by our staff.
  • Our villa manager has final say if he believes a vistor should be denied entry, or if a visitor should leave our villa.
  • Guests and visitors must be polite to our staff at all times, just as our staff will be polite to you.


  • We accept no liability or responsibility for any accidents or illnesses during your stay at our villa.
  • Guests should ensure that they are acceptably protected by their own personal or travel insurance plans.
  • Our airport transfer services are provided by third-party professional drivers who are booked through a management company for which we take no responsibility as we merely book their services as a customer of theirs.
  • Guests must inform our villa manager with regards to any food allergies so that care can be taken not to include those items in some villa-prepared dishes, however, guests have ultimate responsibility in questioning the meal's contents they're about to eat.


  • We try to keep our website accurate and up to date, however, due to the nature of our ongoing villa repairs, maintenance and improvements, guests should accept that some features and facilities advertised on our website may be added to, removed or modified as necessary without prior warning.

Our terms may be updated, without prior notice.

    Villa Baan Panwa is not part of the Sri Panwa Hotel. We are a privately-owned Residence Villa inside Sri Panwa Resort. As such, we have access to all resort facilities.
